WCCA 2008 ~ 2009 Board Positions

The WCCA Board consists of 28 voting WCCA members committed to the continued and growing success of the organization. Most board responsibilities run for a single year from June 1through
May 31. Below is a synopsis of each of the voting board positions. Additionally, each year the WCCA Nominating Committee fills non-voting position for the various Age Group Heads.

President

Oversees all aspects of the organization including:  presiding over the monthly Board meetings; facilitating communication among Board members; moderating at events as needed; acting as the WCCA's liaison to other community groups such as the PTO and League of Women Voters; and approving all announcements, press releases, website content, and information for membership and public distribution.

Vice President

Assists the President and trains for the President position for the following year.  Participates in Executive Committee meetings.

Budget (2-year position) * NOT AVAILABLE

Prepares the annual budget for approval, prepares monthly reports, provides updated budget information to the Committee Chairs during the year, and monitors spending as needed. 
Participates in Executive Committee meetings.

Treasurer (2-year position)

Oversees the entire cash flow of income and expenses for the WCCA, writes check reimbursements as requested, monitors the flow of monies as budgeted and determines annual surplus/deficit.  
Knowledge of Quicken software helpful, but not necessary. Works closely with Budget Chair to coordinate WCCA budgeting and spending.  Participates in Executive Committee meetings.

Secretary (2-year position)

Prepares the agenda and minutes for each board meeting.  Assembles and prepares all board orientation materials. Maintains historical notebook and assists with administrative tasks. Participates in Executive Committee meetings.

Age Group Coordinators (2 positions)

Coordinate the activity calendars for all age groups and serve as a liaison between the Board and Age Group Heads.

Library (2 positions)  *1 POSITION AVAILABLE

Organize activities and events for children at the Weston Public Library. Arrange author/illustrator events during National Library week (November) and Poetry week (April). 
Liaison with Age Group Heads to arrange group events at the library. Work closely with Library personnel to execute all of these events. Submit related articles to the newsletter. 

Parent Education (2 positions)

Coordinate various keynote speakers throughout the year; arrange informal discussion groups; organize the spring Kindergarten Forum in collaboration with the Weston Public Schools to educate incoming Kindergarten families; organize a Weston Recreation Forum in collaboration with the Recreation Department to inform parents about extracurricular opportunities for their kids; write related articles for the newsletter and update the preschool and day camp information provided on the WCCA website.

Outreach (2 positions) * 1 POSITION AVAILABLE

Coordinate and run outreach drives to support Sandra's Lodge and Horizons for Homeless Children.  Act as liaison to the Weston Council on Aging by organizing multigenerational activities. 
Support drives to benefit Weston Food Pantry. When necessary, implement programs to assist members in need (Safety Net).

Special Events: Children

Organize children’s entertainment during the three Weston Public School vacation weeks: contact entertainer, arrange location, oversee publicity.

Special Events: Family

Coordinate family-oriented events: the Halloween Parade, Pancake Breakfast and Memorial Day Concert.

Special Events: Adult

Organize two cocktail parties held in the fall and spring including seeking a host family; arranging for refreshments, bartending, flowers, police detail, etc.

Member-at-Large: Childcare and Refreshments

Assist Board members on projects as needed, coordinate refreshments and child care at meetings, and store coffee pots and paper goods. Organize CPR event with the Weston Fire Department.

Member-at-Large: Special Projects

When necessary, manage special projects that arise as directed by the president.  Coordinate Fall Tavernside Kick-off and Spring Fling and liaison with the Weston Coalition.  Design and update the WCCA bulletin board in the Weston Community Center with notices and upcoming events.

Drop-In (2 positions)

Coordinate Friday morning drop-in sessions throughout the year at the Weston Community Center. Arrange special holiday theme activities including
Frolic with Frosty and a Valentine’s Day event.

Newsletter (2 positions - Content Manager & Desktop Publishing)

Work collaboratively to coordinate the entire content and layout of five bimonthly newsletters and oversee its printing and distribution to the full membership. 
Work with President to generate ideas for articles.

Direct Mail

Collaborate with various board chairs to design the graphic content and layout of all event mailings and oversee the publishing and distribution to the membership.

Membership:  Database Management

Build and maintain the membership database, maintain online registration website, process annual membership registration (online and mailed in), update WCCA mailing lists periodically, 
provide monthly reports on membership activity/dues/age groups and create mailing labels for direct mailings and newsletters.

Membership:  Directory

Work with Database Chair to produce yearly membership Directory and assist with email management.

Membership:  Hospitality

Oversee the process of new membership to the WCCA. Contact and meet new WCCA members providing information about the organization and community. Organize New Member
Reception in the fall, a cocktail party hosted each fall on behalf of new WCCA families.

Media Relations

Prepare and monitor press coverage for WCCA events.  File permits with the Town Hall for placement of sandwich boards for various events.
Collaborate with board chairs to write submissions for the WCCA section in the Town Crier and Westword.

Website Manager (Information Technology)

Maintain the WCCA website, including a Community Bulletin Board, and post current WCCA events and calendars.

Age Group Heads (2 positions for each age group, Dads’ and Dual Career)  *DADS’ GROUP POSITIONS NOT AVAILABLE

Organize activities for specific age groups, liaison with the board as needed, submit calendar of events for the blue sheets in the newsletter.
